Most AI notetakers are built for people who attend meetings. They join the call, transcribe it, summarise it, and hand you a tidy record. Judged on that job, several are excellent and cheap.

Sales teams are buying something different, whether or not they say so at the start: not a record of the call, but a CRM that is up to date without anyone typing, a follow-up that goes out the same hour, and a read on which deals are actually moving. A notetaker gives you the first. It does not give you the other three.

So the real question is not which notetaker is best. It is whether you want a notetaker at all, or a system that acts on what was said. Both are legitimate answers, and this page tries to be honest about which is which.

Built in Malmö, 125 transcription languages, and 100% of customer data processed in the EU by default with nothing to configure.

    tl;dv is the strongest general-purpose option here for a team, and the one whose compliance posture is closest to what a European buyer asks for: their site states data is hosted and stored in the EU, alongside GDPR and SOC 2 compliance.

    It transcribes in over 30 languages and advertises integration with more than 5,000 tools, including CRMs and ticketing systems. Pricing is public and in euros — Free, €29 and €39 per user per month, with roughly 40% off on annual billing.

    Granola's idea is genuinely good and different from the rest: rather than replacing your notes, it takes the rough ones you type during the call and turns them into something coherent afterwards. For people who think by writing, that is a better fit than a summary produced entirely without them.

    Pricing is public and among the cheapest here — Free, $14 and $35 per user per month — and it integrates with HubSpot, Attio, Affinity, Notion, Slack and Zapier. Language support is described as multi-language without enumerating which, and we could not find a data-residency statement on their pricing page.

    Otter is the best known name in this category and the cheapest way to get accurate meeting transcription, particularly on the annual plans at $8.33 per user per month. For an English-speaking team that wants searchable transcripts, it does the job and has done for years.

    The catch for anyone reading this from the Nordics is specific and worth checking yourself on their pricing page: Otter publishes support for six transcription languages — English, Spanish, French, German, Japanese and Chinese. Swedish, Finnish, Norwegian and Danish are not among them.

    HeyPocket

    The only one here that is a physical thing. Pocket is a small recorder that clips to a phone, currently $99, paired with an app that transcribes and summarises. It launched out of Y Combinator in 2026 and its own site says 120+ languages.

    Give it the credit it deserves: a device captures what a meeting-bot cannot. Corridor conversations, site visits, the twenty minutes in the car after a customer meeting, anything not on a calendar invite. If your reps sell in person, that is a real gap in every software-only tool on this page, including ours.

  • Start with languageIf your team sells in Swedish, Finnish, Norwegian or Danish, this decides it before anything else. Otter publishes six languages and none are Nordic. Check the vendor's own language page rather than a comparison post, and run a real call through any tool that claims coverage.

  • Then ask what you want to changeIf the answer is “we want a record of the meeting”, buy the cheapest notetaker that supports your languages. If it is “the CRM is always out of date and follow-ups slip”, a notetaker will not fix that no matter which one you pick.

  • Get residency in writingSeveral tools here state GDPR compliance without stating where data is processed. Those are different claims. Ask for the data location and the sub-processor list, and get both into the DPA.

  • Ignore feature countsEverything in this category transcribes, summarises and extracts action items. Those rows are a wash. The differences that survive contact with a real team are language quality, what reaches the CRM, and whether reps use it without being chased.

    • It depends on whether you want notes or outcomes. For a good record of the meeting at a low price, tl;dv is the strongest general option here and publishes both its prices and its EU hosting position. For a team whose actual problem is CRM hygiene and slipping follow-ups, a notetaker is the wrong category — that needs a sales-native system that writes to CRM fields and drafts the follow-up, which is what Garba does.

    • Not according to Otter's own pricing page, which lists transcription in English, Spanish, French, German, Japanese and Chinese. Swedish, Finnish, Norwegian and Danish are not among the published languages. If your calls are in a Nordic language, verify this directly with Otter before trialling — it is the single most common reason a Nordic team abandons a tool in week two.

    • tl;dv states that data is hosted and stored in the EU. Garba processes 100% of customer data in the EU by default with nothing to configure. Granola and Otter do not publish a data-residency position on their pricing pages, which is not the same as saying they process outside the EU — it means you should ask, and get the answer into the DPA rather than relying on a comparison page.

    • For an individual who wants searchable transcripts, often yes — Otter, tl;dv and Granola all have real free tiers. Free stops being enough when the cost is no longer the tool but the work around it: reps retyping notes into the CRM, managers with no view of the pipeline, and follow-ups going out two days late. That arithmetic changes at about the point a team passes five reps.

    • A notetaker records and summarises a meeting for the people who were in it. Conversation intelligence analyses across many conversations to produce coaching, deal risk signals and pipeline forecasts for a sales organisation, and writes structured data back into the CRM. The category names blur in marketing, so the practical test is simple: does the CRM record change on its own after a call, and does a manager get a view of the pipeline without asking anyone?

    • It depends on where your conversations happen. Pocket is a physical recorder, currently $99, and it captures the things a meeting bot cannot join — corridor conversations, site visits, the debrief in the car. If your reps sell in person, that is a genuine gap in every software-only tool here. The catch for a sales team is what happens next: HeyPocket publishes integrations with calendars, cloud storage, Obsidian and task apps, but no CRM. Nothing reaches HubSpot, Salesforce or Pipedrive on its own, so the deal record is still updated by hand.
